General Purpose of Ratified Templates

Templates are used to establish the degree requirements for AREAS
I-V for each of the majors/programs offered through the STARS Transfer Guide System.

All templates are created/developed by one of four academic groups:

  1. General Studies Academic Committees (GSACs)
  2. Pre-professional Academic Committees (PACs)
  3. University Academic Administrators who are the only institutions that offered programs in a given discipline (INSTITUTION SPECIFIC TEMPLATES)
  4. Ad-Hoc Committees (established as needed by the AGSC)

As stated above, these ratified templates simply establish the requirements for the first two-years of the specific program/major. Once a template has been ratified by the AGSC, the STARS office then takes that document and creates a corresponding TRANSFER GUIDE that is in turn obtained and used by prospective transfer students to guide them through their first two years of coursework at their chosen community college. The template can be reviewed, changed, and updated at the request of the academic committee or the AGSC.

Procedure for Ratifying Templates (and other information)


BACKGROUND WORK

Before a new template can be developed, some background work must be done. The best way to begin to work on the creation of a new template is to contact the STARS office. The STARS staff will work with you to find the answers to the following question (other questions may also arise):

  1. How many institutions in the state also offer this major/program?
  2. Is the program/major name the same at other institutions?
  3. What is the CIP Code for this major/program?
  4. Do other institutions use the same CIP Code for this program or major?
  5. Should this template be developed by a specific institution ("institution only" template)?
  6. Should this template be developed by a specific academic committee (GSAC or PAC)?
  7. Should a small ad-hoc committee be assigned to develop this template?


DEVELOP NEW TEMPLATE

The group that is assigned to create the new template must meet to discuss the various academic requirements that exist in the first two years of the program or major (develop AREAs I-V). After this discussion, the ratified template form must be completed and the appropriate signatures must be obtained. Areas I-V must be completed in full. Once this work is completed by an Academic Committee or Ad-Hoc Committee all parties must agree to accept the course work as outlined in the final document (this will become the foundation for the official transfer guide for students). Once the form is filled out, it should be sent to the STARS Office for final review.

OFFICIAL RATIFICATION OF THE NEW TEMPLATE

Once the form is finalized, it will be sent from the STARS Office to the Council of Chief Academic Officers (for the state of Alabama) for their review. After their review, it will be be placed on the agenda of the next AGSC meeting for discussion and vote. The AGSC can ratify, reject, or table the new template. If ratified, it will be added to the AGSC Ratified Templates listing. The STARS Office will take the ratified template and create a matching TRANSFER GUIDE that students will then be able to access via the STARS System.

If the AGSC rejects or tables the template, it will send it back to the committee or institution for corrections or changes.



"INSTITUTION ONLY" TEMPLATES

There are certain majors/programs that only one institution offers in our state. In this case, that institutions Point of Contact can submit an "Institution Only" template for consideration. The STARS Office will review and make sure that no other institutions offer similar programs. Once ratified by the AGSC, the institution can continue to update and change the template as needed to match their AREA I-V requirements. If another institution gains approval to offer a similar major or program, they can be added to the existing template. They may have to enter into discussions with the other institution if they desire certain changes or additions.


"AD-HOC COMMITTEE" TEMPLATES

At times there may be a program that is not an institution only template where two or three other institutions offer a similar program. If less than five institutions offer a similar program, an ad-hoc committee may be created to create and mange the template for that particular program or major. In this case, a full-committee is not created. The ad-hoc committee simple meets as instructed by the AGSC. The institutions Points of Contact will appoint ad-hoc committee members.


CHANGES AND UPDATES TO AN EXISTING TEMPLATE

Academic Committees can review, update and change template requirements as needed. All changes and updates must be approved by the AGSC. The STARS Office will initiate routine reviews of existing templates. The AGSC may also request a review of a template should the need arise.
